Position Title:
Office Manager
Reports to:
Priest-in-Solidum
Position Summary:
A professional administrator supporting the Priest-in-Solidum, responsible for stewardship of the parish’s physical, financial, personnel, and worship/liturgical resources.
Preferred Experience:

Practical knowledge of basic accounting systems

Experience preparing financial reports and analyzing operations
-
Understanding of parish operations and the ability to quickly learn office functions

Comfortable interfacing with all levels of the Archdiocese of Detroit (AoD) and parish
Personal Qualifications:
-
Excellent business communication skills (written and verbal); bilingual in Polish and English preferred

Results-oriented, highly organized, detail-focused
-
Associate’s Degree in Business Administration or equivalent experience

Must be a Catholic in good standing

Strict confidentiality with church-related information

Proficient in Microsoft Office (Word, Excel, Publisher)

Experience with ParishSOFT and other online applications
Responsibilities:
Administration:
-
Greet visitors, answer calls/emails, manage deliveries and service calls during office hours
-
Maintain ParishSOFT database and manage parish calendars
-
Maintain contact lists and adhere to AoD policies
-
Handle employee HR issues, insurance, and retirement benefits
-
Process parishioner documentation requests
-
Serve as the main interface with the parish Charter School
-
Prepare weekly Church Bulletins and Mass documents
-
Process Mass Intentions
Financial:
-
Administer and review the budget with the priest-in-solidum and bookkeeper
-
Oversee banking and bookkeeping activities
-
Maintain financial records and reporting; liaison to the Finance Council
-
Monitor offertory collections and parish revenue
-
Ensure compliance with AoD policies and civil laws
-
Guide fundraising efforts
Supplier Management:
-
Maintain supplier contacts
-
Schedule and manage maintenance (organ, elevator, boiler, bells, etc.)
-
Manage office supply needs
-
Order sacramentals (candles, holy cards)
Sacraments:
-
Respond to inquiries about Weddings, Baptisms, Funerals
-
Schedule and maintain records for sacraments
-
Coordinate Church preparation for events
-
Manage sacramental records
Other:
-
Implement improvements like website updates and cost-saving measures
-
Ensure staff and volunteers complete background checks and required training
-
Complete Protecting God’s Children for Adults training upon hire
